Group Transportation Planning Guide

Planning transportation for a group doesn’t have to be complicated. Whether you’re coordinating a school trip, corporate event, church outing, athletic team, wedding or multi-day tour, a few decisions made early can make the entire experience easier.

This guide walks you through the transportation details worth considering before your group ever gets on the road.

Six Things to Know Before You Start Planning

You don’t have to have every detail figured out before contacting us. But these six pieces of information will help your transportation provider understand what your group needs.

1. How Many People Are Traveling?

Start with your best estimate. Your passenger count helps determine the size and number of vehicles you’ll need.

2. Where Are You Starting?

Include the exact pickup location whenever possible. Large campuses, hotels and event venues may require a specific loading area.

3. Where Are You Going?

For a simple trip, this may be one destination. For conferences, tours and multi-day trips, provide every planned stop.

4. What Time Do You Need to Arrive?

This is often more important than your desired departure time. Your transportation provider can work backward to account for travel time, stops, loading and traffic.

5. What Are You Bringing?

Luggage, band instruments, athletic equipment, trade-show materials and other items can affect which vehicle is the best fit.

6. When Are You Returning?

Include your anticipated return time and any transportation you’ll need while you’re at the destination.

Your transportation itinerary should include more than your starting point and destination.

For each movement, include:

  • Pickup location
  • Desired departure time
  • Destination
  • Required arrival time
  • Passenger count
  • Planned stops
  • Hotel information
  • Event or venue information
  • Return transportation
  • Contact information for the group leader
For multi-day trips, include as much of the daily schedule as possible.

Choosing the right Vehicle

Bigger Isn’t Always Better. The Right Fit Is Better.

Vehicle selection should be based on more than passenger count. You will want to consider the following:

Passengers
How many people need seats?

Luggage
Will passengers have suitcases, equipment or other large items?

Distance
A quick local shuttle has different needs than a 10-hour road trip.

Amenities
Will your group benefit from Wi-Fi, power, reclining seats or an onboard restroom?

Accessibility
If anyone in your group has specific mobility or accessibility needs, communicate those requirements during planning.

Don't Plan Around Drive Time Alone

TIMING

A mapping app might say your destination is three hours away, but group transportation requires a little more planning. Consider time for:

  • Boarding passengers
  • Loading luggage
  • Restroom or meal stops
  • Traffic
  • Venue loading procedures
  • Required driver breaks
  • Unloading
  • Parking

If your group must arrive by a certain time, tell your transportation provider. They can help recommend an appropriate departure time.

When Should You Start?

As Soon As You Know the Date
Begin checking transportation availability.

Several Months Before
Reserve transportation for major trips, busy seasons or large groups whenever possible.

A Few Weeks Before
Confirm passenger count, itinerary, pickup locations and contact information.

Final Days Before Travel
Provide any last itinerary changes and make sure your group knows exactly where and when to meet.
