Group Transportation Frequently Asked Questions

Planning group transportation can bring up a lot of questions. We’ve gathered answers to some of the things customers ask most often about charter buses, reservations, pricing, vehicles and trip planning.

 

Booking & Planning

As early as possible. Popular travel seasons, weekends and major events can fill quickly. You do not necessarily need every itinerary detail finalized before beginning the reservation process.

Start with your travel date, approximate passenger count, pickup location, destination and basic itinerary.

Not necessarily. An estimated count can usually begin the planning process. Update your transportation provider as the number becomes more certain.

Changes may be possible, but they can affect vehicle availability, driver scheduling and price. Communicate changes as early as possible.

Pricing

There isn’t one flat charter bus price. Pricing depends on factors including distance, duration, vehicle type, itinerary, dates and driver requirements.

Passenger count is only one factor. A two-hour local transfer and a four-day interstate trip may use the same vehicle but require very different resources.

Vehicles & Amenities

Capacity depends on the specific vehicle. Link this answer directly to the fleet page with verified seating capacities.

Many full-size motorcoaches have onboard restrooms. Verify the amenities of the vehicle reserved for your trip.

Amenities vary by vehicle. Many modern coaches offer features such as Wi-Fi and power, but confirm what is included with your specific vehicle.

Many motorcoaches provide substantial luggage storage. Tell the team if your passengers will have large suitcases, instruments, athletic equipment or unusual cargo.

Travel Day

Pickup locations are established as part of the itinerary. Large venues, airports and campuses may have designated motorcoach loading areas.

Give passengers enough time to check in, load luggage and board before the scheduled departure. Your transportation coordinator can provide trip-specific guidance.

Long Distance and Multi-Day Travel

Yes. Motorcoaches commonly provide regional and long-distance group transportation.

Multi-day transportation can be planned around the group’s itinerary, subject to vehicle and driver requirements.

Commercial drivers are subject to hours-of-service requirements designed to limit driving and on-duty time. Longer itineraries may require additional planning to remain compliant and safe.

Safety

Look at the company’s licensing, insurance, operating authority, safety practices, driver qualifications and vehicle maintenance program.

Commercial motorcoach drivers must have the appropriate commercial driver’s license and required endorsements. Company-specific hiring and training standards can go here as well.
